Over the past 24 months, something quietly shifted in how I work.. and I didn’t even notice it at first.

I stopped writing notes during meetings.

Not because I got lazy. Not because I outsourced it to someone else.

Because AI quietly stepped in… and never left.

Now when I jump on a call — whether it’s with a founder, a team member, or a partner — I show up differently. I’m listening more. I’m thinking clearer. I’m actually in the conversation.

By the time the meeting ends, I’ve already got a full transcript, clean summary, and a shortlist of action items — no extra effort.

It feels small. But this one shift has rewired how I work, think, and follow through.

🧠 Why AI Notetakers Are a No-Brainer

Right now I use Gemini for Google Meet. In the past, I’ve also used Fireflies, Fathom, and Read.ai. They all do the same essential job:

  • Join your meetings automatically
  • Transcribe in real-time
  • Summarize the key points
  • Share takeaways + next steps with everyone

Which tool you use honestly doesn’t matter. They’re all solid. What does matter is what you do after the meeting ends.


🪦 Don’t Let Your Meeting Notes Die

This is where most people stop:

Meeting’s over → email arrives → “Nice, I have notes.”

And then? Nothing.

But here’s where it gets interesting.

Pro tip: meeting notes are not the end. They’re the beginning.

Here’s what I’ve done personally:

  • Uploaded them to NotebookLM → Asked, “What insights can be drawn from all my meetings?” and got a full breakdown: recurring topics, blind spots, and a summary of how my thinking is evolving.
  • Auto-synced to my CRM → I set up a lightweight AI agent that files each meeting summary into the right client record — no manual copy-paste.
  • Turned notes into tasks → Use Zapier or native integrations to push meeting summaries into tools like Asana, Trello, or Jira. No retyping.
  • Turned conversations into content → Dropped the transcript into ChatGPT and asked: “Give me 3 insights I could turn into posts or a newsletter.

These aren’t complex automations. These are practical extensions of what the AI already gave me.


🤖 This Is How AI Starts Working For You

We’re not heading toward the era of AI agents — we’re already in it.

There are agents that summarize your meetings, tag the outcomes, organize the takeaways, create project tasks, and sync it all into your tools. Automatically.

But none of that works unless you start with the basics.

Let AI listen while you focus on talking, thinking, connecting. Then let it do more — not just capture what was said, but help you act on it.

You don’t need a new setup. Just:

  1. Use Google Meet with Gemini, or try free tools like Fireflies or Fathom
  2. After your next call (or after a few of them), grab the notes + transcript
  3. Upload your notes to NotebookLM (or any AI tool you trust)
  4. “What insights can be drawn from all my meetings so far? Include structure, crucial themes, blind spots, and anything I may have missed.”

That’s the shift — from passive notes to active systems.

You’ll spot patterns. Priorities. Blind spots you missed.

All buried in your own words until AI digs them up.
