Episode 14:
ChatGPT Projects = Your Workspace

Hey friends,

There’s an interesting way to use ChatGPT, that not many people know.

Today I’m sharing the Projects feature.

Projects inside ChatGPT turns conversations from a single‑threaded chat into an organized, multi‑context workspace.

Imagine having a folder for each role in your life.

For me, that’s one for social media, newsletter, marketing, AI ops. Inside each folder are multiple chats all sharing the same memory.

Everything me and ChatGPT learns, stays inside the project and improves every conversation.

I’ve been using Projects every day for months. I’ve tested it extensively, to share what I've learned so you don't have to learn from scratch.

I’ll make it easier and simpler to understand so you can start using it immediately.

Let me explain how I’m using Projects, and how you can get started in a few minutes.

📌 What Exactly Are ChatGPT Projects?

Projects are persistent workspaces inside ChatGPT. Instead of one endless chat, you create a project and open as many chats as you need inside it.

Each chat shares the project’s context, files, and custom instructions.

Here’s what you need to know about Projects (they’re much more than just folders):

  • Enhanced memory that actually remembers: Consistent tone and fewer reminders across sessions.
  • File sharing & intelligence: Each project can hold up to 20 documents. ChatGPT understands relationships between these files and cross‑references them in your chats automatically.
  • Project‑level custom instructions: Instructions set in one project stay there and override your global instructions. Ideal for keeping different tone/formatting for different roles.

ChatGPT Projects are real AI workspaces where context, memory and organization coexist.

⚡ How I’m Using Projects Day‑to‑Day

✅ One project per role

I have separate projects for social media content, newsletters, AI operations and marketing.

Each project holds multiple chats. No need to re‑explain my writing style, tone, context or past results. This one may seem obvious, but you’d be surprised how many people don't know about this.

✅ Structured workflows

Within a project I use different chats for different ChatGPT modes:

  • one chat uses the search tool to gather ideas
  • a second uses thinking or deep research to dig deeper
  • a third uses agent mode to execute multi‑step tasks

Splitting the conversations lets each stay focused while still benefiting from shared context.

✅ Seamless file management

I upload relevant PDFs, spreadsheets or briefs to a project.

Every chat in that project can refer to them.

With up to 20 files and better cross‑referencing, I can drop reports, transcripts and marketing copy into one place and rely on ChatGPT to weave them together.

🛠 How to Get Started (4 Simple Steps)

  1. Create a project: Head to ChatGPT and in the left sidebar, click the “+ New project” and name your workspace (e.g. “Tech” or “Marketing”)
  2. Add files and chats: Upload your documents or data into the project)
  3. Set project instructions: Use custom instructions to set tone, audience and style
  4. Leverage memory: With memory enabled, you don’t need to remind ChatGPT about decisions from chat to chat. It remembers across the whole project

PRO tip: When you notice a chat is responding slow or not functioning correctly, start a new chat about the same topic within the Project. Fresh start, same context 😉

📈 Why This Matters Right Now

We’ve moved beyond single chat AI assistants.

Projects make ChatGPT behave like a real workspace: it remembers, organizes and adapts to your workflow.

With enhanced memory and file sharing, the AI can act as a collaborator rather than a blank slate each session.

As more tools (web search, thinking, agent mode) become available, the ability to keep them separated, yet connected inside one project becomes invaluable.

🫡 Final Thoughts

ChatGPT Projects are more than just folders.

They’re AI workspaces that reduce friction and keep you organized.

The way I work now feels smoother: one project for each role, multiple chats per project, shared memory across them all.

It’s an organizational hack and a productivity boost rolled into one.

Start by setting up a project for your next big task.

Split your workflow into separate chats, upload your references, and let ChatGPT keep the context together.

Let me know how it goes.

To smarter and more organized working,
Nahid

P.S. Thanks for being here. If you're finding my newsletter helpful, it would mean the absolute world to me if you shared it with a friend, family, colleague. Really helps a growing newsletter like mine!
